Three months ago I exported 2,184 pages of meeting notes, voice memos, and rough thoughts and dumped them into Notion AI, Mem, and Reflect. Same corpus, same queries, same week. I wanted to know which app would surface the thing I wrote down four weeks ago when I asked for it on a Tuesday morning.

The headline: none of them are perfect, but they fail in completely different ways. Picking the wrong one will cost you weeks of cleanup work in 2026.

TL;DR: which to pick

Use caseBest pickWhy
Team workspace that needs AI bolted onNotion AIAlready where your team lives, $10/user/mo add-on
Personal second brain with chat recallMemBest at "find me what I said about X last quarter"
Daily journaler who wants speedReflectApple Notes feel + GPT-4 backlinks, $10/mo flat
Heavy researcher with PDFsSkip all three, use NotebookLM
Coder who lives in plaintextSkip all three, use Obsidian
If you stop reading here: pick Notion AI if your team already uses Notion, Mem if you take notes alone and want chat-style recall, Reflect if you want speed and don't trust your data to a giant database.

The test

I ran the same 12-query set against each app, all loaded with the same corpus:

  • 14 months of meeting notes (Markdown, ~800 files)
  • 6 months of voice memos (auto-transcribed via Whisper before import)
  • 312 web clips (mostly research bookmarks with highlights)
  • A rolling daily journal

Queries ranged from easy ("what did I decide about the Q1 pricing change") to nasty ("which client complained about onboarding friction more than once, and what was the pattern"). I scored each app on recall accuracy, time-to-answer, and whether the answer linked back to the source note.

Notion AI

Pricing: $10/user/month on top of Notion's $10/user paid plan. So $20/user/month effectively, or $24 if you want Business features.

What it nails: Notion AI feels like having a smart intern who has read your whole workspace. Ask it "summarize last week's product meetings into three bullets per project" and you get something usable in 8 seconds. The Q&A mode (Ask AI) pulls from your entire workspace, including databases. For my test, it answered 9 of 12 queries with the right note linked. The other 3 it confidently made up plausible-sounding answers that weren't in my notes, which is the failure mode you need to watch for.

What's frustrating: It chokes on long property-heavy databases. If you have a CRM-style database with 40 fields and 2,000 rows, Notion AI summarization gets lossy fast. It's also locked into the Notion UI, so if you hate the editor (some people do; the slash-command + block model is divisive), the AI doesn't save you.

Best for: Teams already on Notion. The AI is a smart upsell on infrastructure you're already paying for. Not worth migrating to Notion just for the AI.

Mem

Pricing: $10/month for Mem X (with AI), or free for the base app with limited GPT use.

What it nails: Mem's AI chat is the best of the three at conversational recall. Ask it "what was that thing I wrote about Stripe vs Paddle for international tax handling" and it returns a paragraph synthesizing across 4 notes, with each one cited inline. It answered 10 of 12 of my test queries correctly. The "Smart Write" autocomplete drafts paragraphs in your own voice once it's been trained for a week or two, which sounds gimmicky until it saves you a real 20 minutes on a long memo.

What's frustrating: The graph view is weak compared to Obsidian or Tana. There's no proper block-reference system, so atomic-note people will hate it. And the import flow for Markdown is fiddly: I had to write a small script to massage my Obsidian vault into something Mem would accept without breaking links.

Best for: Solo knowledge workers who think in conversations. If you'd rather ask your notes a question than browse a folder tree, Mem wins.

Reflect

Pricing: $10/month flat, no per-seat nonsense.

What it nails: Reflect is the fastest of the three. Cold start to typing a new note is under 800ms on a 2023 MacBook Air. It uses GPT-4 under the hood for its AI features and offers a backlink graph that's closer to Roam than to Notion. End-to-end encryption is on by default, which Mem and Notion don't offer. For privacy-conscious folks (lawyers, therapists, founders working on sensitive deals), that's not a nice-to-have, it's a hard requirement.

What's frustrating: The AI is the weakest of the three at workspace-wide recall. It answered 7 of 12 of my test queries correctly. It's better as a writing assistant inside a single note than as a "search my whole brain" tool. There's also no team mode at all. Reflect is single-player only.

Best for: Solo journalers, daily-note people, and anyone with privacy constraints. The encryption story is the real differentiator.

Mem won on recall quality, Reflect won on speed and privacy, Notion AI won on team workflow. Pick based on which of those you care about most.

Hidden costs nobody mentions

  • Notion AI doubles your per-seat cost. A 10-person team goes from $100/mo to $200/mo. Decide whether 10 people will use the AI features daily before pulling the trigger.
  • Mem has a free tier but the AI quotas are tight. You'll hit the cap in week one if you use it for real work. Budget the $10/mo upgrade from day one.
  • Reflect is the only one priced honestly: $10/mo, you get everything. No upsell tiers, no surprise add-ons.

What about Obsidian + GPT plugin?

Fair question. Obsidian plus the Copilot or Smart Connections plugin will get you 70% of the way to Mem-style recall for $0 (Obsidian) + $20/mo (OpenAI API). I use this combo personally. It wins on data ownership and customizability and loses on polish and onboarding. If you'd rather configure your tools than buy a finished product, that's the path.

What about NotebookLM?

Google's NotebookLM is the best in this category for one specific use case: deep research on a fixed set of source documents. Drop 50 PDFs into it, ask questions, get cited answers, generate a podcast summary. But it's not a daily note-taking app. It's a research workbench. Different tool, different job.

My pick after 90 days

I kept Mem for personal recall, kept Reflect for daily journaling (the speed is addictive), and dropped Notion AI from my personal stack because I don't use Notion for solo work. For team workflows, Notion AI is still the right answer if you're already on Notion. I just don't think it's worth bringing Notion into a team that isn't already there for the AI alone.

A 30-day test plan if you can't decide

Skip the analysis paralysis. Pick the two that fit your situation best from the TL;DR table above and run them in parallel for 30 days. Use one for everything personal, the other for everything team. At day 30, look at which one you opened more without thinking about it. That's your winner.

What I tracked during my own test:

  • Number of times I opened the app without prompting
  • Number of times I asked a recall question and got the wrong answer
  • How often I caught myself drafting in another app first then pasting in

These three numbers told me more than any feature comparison spreadsheet.

A note on data exports

Before you commit, export your existing notes from your current system and run a dry-run import into both finalists. Reflect handles Markdown cleanly. Mem handles Markdown after some script massaging. Notion's import flow is reliable but tends to flatten nested hierarchies. The friction of moving in is also the friction of moving out, so test it both directions.

FAQ

Is Mem worth $10/month over the free tier? Yes, if you use it daily. The free tier's AI quota runs out fast and the friction of getting cut off mid-thought breaks the value of the app.

Can I trust Notion AI with confidential notes? Notion's enterprise plan offers SOC 2 Type 2 and HIPAA options, but the AI features by default send content to Anthropic and OpenAI under Notion's processor agreements. For sensitive client work, Reflect's E2EE is a stronger story.

Which one has the best mobile experience? Reflect on iOS is the most polished. Notion mobile feels heavy. Mem mobile is decent but its AI lags behind the web version on response time.

Do any of them support voice notes? All three accept audio uploads, but only Mem auto-transcribes inline. For Notion and Reflect you'll need to transcribe with Whisper or similar first.

Should I migrate from Apple Notes? Only if you want AI recall or backlinks. If you want notes that don't get lost, Apple Notes plus Spotlight search is fine. Don't add complexity you won't use.
